Welcome to Flo Travel. These Terms and Conditions ("Terms") govern your use of our website www.flotravel.co.uk (the "Website") and the passenger transport services booked through it.

The Website and our transport services are operated by FTVL Services Limited (trading as Flo Travel), a company registered in England and Wales under company number 15286361, with its registered address at 8 Alton Close, Hightown, Liverpool, United Kingdom, L38 9GE.

By accessing this Website, requesting a quote, or making a transport booking, you agree to be legally bound by these Terms. If you do not agree with any part of these Terms, you must not use our Website or services.

1. Bookings and Quotes

  • Quotes: Any price quote provided by Flo Travel via the Website, email, or telephone is valid for 24 hours from the time of issue unless otherwise stated, and is subject to vehicle availability at the time of booking.

  • Booking Confirmation: A request for a booking does not constitute a legally binding contract until Flo Travel has issued a formal booking confirmation via email and, where applicable, payment has been successfully processed.

  • Accuracy of Information: You are responsible for ensuring that all details provided during the booking process (including pickup dates, times, flight numbers, locations, and passenger counts) are accurate. Flo Travel cannot be held responsible for service failures resulting from incorrect information provided by the customer.

2. Prices and Payment

  • Pricing: All prices are calculated based on the journey details provided at the time of booking.

  • Additional Charges: We reserve the right to amend the final price or pass on additional costs to the customer under the following circumstances:

    • The route or destination is altered during the journey at the passenger's request.

    • Excessive waiting times occur (see Section 3).

    • The journey incurs unforeseen parking charges, road tolls, or congestion fees not included in the original quote.

  • Payment Methods: Payments must be made securely via our approved online payment gateways or by pre-arranged corporate account structures. Full payment must be cleared prior to the commencement of the journey unless otherwise agreed in writing.

3. Waiting Time and Delays

  • Standard Pickups: For standard address pickups, a complimentary waiting time of 15 minutes is included. If the passenger does not appear or contact the driver within this time, we reserve the right to cancel the booking as a "no-show" with no refund, or charge a waiting fee per minute thereafter.

  • Airport/Station Pickups: For airport and train station pickups, a complimentary waiting time of 45 minutes from the scheduled arrival/landing time is included.

  • Flight Delays: We monitor flight arrival times where flight numbers are provided. However, if a flight is significantly delayed or cancelled, you must contact Flo Travel as soon as possible. While we will make every effort to accommodate delayed arrivals, reschedule requests are subject to vehicle availability.

4. Cancellations, Amendments, and Refunds

  • Cancellation by the Customer: If you wish to cancel your booking, you must notify us as soon as possible. Refunds or cancellation fees are applied based on the notice period provided before the scheduled pickup time:

    • More than 24 hours' notice: Full refund minus any non-refundable card processing fees.

    • 12 to 24 hours' notice: 50% cancellation fee applies.

    • Less than 12 hours' notice (or No-Show): 100% cancellation fee applies; no refund will be issued.

  • Amendments: Booking amendments requested less than 12 hours before the pickup time cannot be guaranteed and may be treated as a cancellation.

  • Cancellation by Flo Travel: In the rare event that we must cancel a booking due to unforeseen circumstances (e.g., severe vehicle breakdown or extreme weather conditions), a full refund will be issued. Flo Travel will not be liable for any subsequent or indirect losses incurred as a result of the cancellation.

5. Passenger Conduct and Safety

  • Behavior: We operate a strict zero-tolerance policy regarding abusive, violent, or threatening behavior toward our drivers or other passengers. The driver reserves the right to refuse carriage or terminate a journey immediately if a passenger’s conduct compromises safety. No refunds will be given in these circumstances.

  • Soiling and Damage: Passengers are liable for any damage or exceptional soiling caused to the vehicle interior or exterior during a journey. A minimum valeting and cleaning fee of £100.00 will be charged to cover the cost of cleaning and vehicle downtime.

  • Smoking and Vaping: In compliance with UK law, smoking and the use of electronic cigarettes/vapes are strictly prohibited inside all Flo Travel vehicles.

  • Seatbelts and Child Seats: All passengers must wear seatbelts at all times when the vehicle is in motion. In accordance with UK legislation, parents or guardians are entirely responsible for providing and securely fitting appropriate child car seats.

6. Luggage and Personal Property

  • Luggage Allowance: Vehicles are subject to strict weight and space capacities. You must declare the correct amount of luggage at the time of booking. The driver reserves the right to refuse items that cannot be safely accommodated within the vehicle's luggage compartment.

  • Lost Property: Flo Travel is not responsible for any personal items left behind in our vehicles. If an item is found, we will hold it securely for 30 days. You are responsible for any delivery or collection costs incurred in returning lost property.

7. Website Usage and Intellectual Property

  • Permitted Use: You may use this Website solely to view information, request quotes, and manage your passenger transport bookings. You must not use this Website for any fraudulent, speculative, or malicious purposes.

  • Intellectual Property: All content, branding, logos, graphics, and text on www.flotravel.co.uk are the intellectual property of FTVL Services Limited or its licensors. You may not copy, reproduce, or repurpose any website content without our express written permission.

8. Limitation of Liability

  • While Flo Travel makes every reasonable effort to ensure vehicles arrive on time, we cannot be held liable for delays, missed flights, missed connections, or financial losses caused by circumstances beyond our control (Force Majeure). These include, but are not limited to:

    • Exceptional traffic congestion or road accidents.

    • Severe weather conditions, floods, or natural disasters.

    • Strikes, industrial action, or civil unrest.

    • Unforeseen mechanical breakdowns or punctures.

  • Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraudulent misrepresentation.

9. Governing Law

These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales. You agree that the courts of England and Wales shall have exclusive jurisdiction to settle any disputes.
